4Can you provide a sample edit?
Yes, you will get an estimated 5,000 words sample if your document is longer than 30,000 words. It gives you an idea of how the editor edits and allows you to ask questions and give feedback.

9Can I upload my dissertation or thesis in parts?
Yes, you can upload your thesis in sections.
We aim to ensure that the same editor checks all sections of your thesis. If you upload a new file, we recognize that you are a returning customer and contact the editor who helped you in the past.
Unfortunately, we cannot guarantee the availability of the same editor. You have a better chance if

The word count does not automatically include bibliographies and footnotes.
You can request that the editor correct your footnotes’ language errors in the upload process. As a result, the footnotes are automatically counted as part of the total number of words.
14Do you provide a free trial edit service?
Free trial edits are not available due to our aim to keep our prices competitive. Our editors are happy to provide you with a sample edit of 2,000 words if your document exceeds 30,000 words.
15How will I access my paper once the editor has finished the edit?
You will receive an email with a link to download your edited document after it has been edited.
16Can I get in direct contact with my editor?
No, you cannot directly contact the editor. The editor will always be accessible via the Penophile support team.
17How do your editors use the ‘Track Changes’ feature?
Word’s ‘Track Changes’ feature has been used by the editor to make changes to your document. Basically, this means that you must accept or ignore each change made to the text individually
You can also accept all changes at once. Our recommendation is not to do so, however, for the following reasons:
- By looking at your mistakes, you can learn a lot.
- Editors not only change the text but also comment on unclear sentences and paragraphs. In light of this, we recommend that you read through these comments and take into account the tips and suggestions given by your editor.
- There may be double spaces, double periods, or other minor mistakes in sentences due to the many changes. You can easily detect these minor errors by checking each change one by one.
18Will my editor be qualified in my area of study?

1What is the Penophile refund policy?
Within five business days, we will process your refund. You will receive your refund in a few days once the refund is processed. Your payment method determines how long this process will take.
- There is a two-day processing time for credit cards.
- There is a five-day processing time with PayPal.
2How long will it take to get my refund?
Your refund will be processed within 5 business days.
3I have been advised that my thesis will be split among multiple editors. How does this work?
By uploading your document and selecting a deadline, Penophile will determine if one editor can edit the entire document within the specified timeframe.
Otherwise, we’ll ask for an extension. If this isn’t possible, Penophile will divide the document between multiple editors.
An email notification will inform you which editor will edit which part. In order to ensure consistency, the editors will communicate with each other.
When one of the editors has completed proofreading, you will receive an email and text message from us. If you want to know the status of your order, you can log into your account at any time.
The edited documents will usually come in parts, which can be merged into one document. You can always contact our support team if you encounter any problems team. It is also possible to merge the different parts of your document through Penophile if your deadline permits. When the document is split, our support team will inform you accordingly.
4How do I upload my thesis?

5What is the maximum file size allowed?
The maximum size allowed is as follow:
Proofreading and editing service
Proofreading and editing services have a maximum file size of 40MB.
It is, unfortunately, not possible for the editor to check larger documents. The document cannot be safely sent to the editor via our server. The document will also be difficult for the editor to open and edit due to its size.
Plagiarism Check
The maximum number of pages per upload is 400. You can split your document into multiple parts if it is too large. Each file you upload will be charged separately.
Reducing the size of the document for proofreading
You probably have large images in your document if your document is larger than 40MB. The file size can be reduced in several ways.
1) Compressing images
It is possible to compress images in Word without sacrificing quality. You can find information about compressing your images in the Microsoft Office manual.
2) Deleting images
Delete the largest images in your document when your document is still too large after compressing the images.
6What file formats do you accept?
Upload your thesis in the following format if you would like Penophile to edit it:
● Microsoft Word format (.doc or .docx).
Your thesis will be improved by the editor using Microsoft Word’s ‘Track Changes’ feature. You will always receive a .docx file from us. Using Word’s ‘Track Changes’ tool, you can accept or ignore the changes made by the editor. To check for plagiarism, you can upload your documents in .doc or .docx form.
7How do you convert .odt to .doc format?
Our editors use Word’s ‘Track Changes’ feature when editing your document. The editor’s actions can easily be seen with this tool.
You will need a .doc or .docx document to use this tool. Documents saved in .odt format are not supported by the tool ‘Track Changes.’
It is, however, possible to convert a .odt document into a .docx document easily. Here’s how!
The first step is to:
Use your word processor to open the .odt document (such as LibreOffice or Microsoft Word).
The second step is:
When saving your document, save it as a .docx file. This option is available when you indicate what type of text you are saving (below the file name).
8Can I pay in installments?
The order can’t be paid in installments after it’s completed. The order must be paid before an editor can begin working on your thesis.
9Can I pay after the order is completed?
Upon completion, the order cannot be paid in installments. You must pay before an editor can begin working on your thesis.
10Can you proofread and edit my paper in LaTeX?
Yes, we are able to proofread and edit LaTeX documents. Due to our editors’ use of Word’s track changes functionality, your LaTeX document will need to be converted to a .docx (Microsoft Word) document.
A LaTeX document can be converted into a .docx document without much trouble, but the layout of your document may be affected. Therefore, you need to check the layout afterward. Your original LaTeX file must also be modified to incorporate all the changes made by the editor.
Convert to Word
It takes only 3 steps to convert a LaTeX file to a .docx file.
- The LaTeX file should be saved as a pdf.
- The pdf file should be opened in Microsoft Word. (Word automatically converts pdf files to Word documents.)
- The Microsoft Word file should be saved.
If you have any difficulty converting your file yourself, please contact us. We can convert your document for you.
11How quickly can you proofread and edit my document?
24 hours is the fastest turnaround time.
There are three deadlines you can choose from when you upload your document

12Can I send the editor the feedback from my supervisor?
During the upload process, you can include a copy of your supervisor’s feedback. Your editor will be notified about this feedback. Instead of handing over lengthy documents with many requirements, summarize the feedback and ask the direct editor questions. The more detailed your information is, the less detailed the editor can be in answering your questions.
Your editor already knows how academic writing should be done. Having too much information can make it difficult for the editor to know what to focus on specifically to assist you.
13Can I submit my thesis in parts?
If you want to upload your thesis in sections, you can do so.

There is no direct way to contact the editor. You can always contact the editor via the Penophile support team.
19I am having problems with the word document you sent. Who do I ask for help?
Can’t open your Word document after receiving it? In case you encounter any problems accepting the changes, please refer to our manual. You can contact us directly if you have any other problems.
About Accepting The Editor’s Changes
1The word document crashes when I accept the changes?
The Reviewing Pane can cause Word to crash or run very slowly. The Revision Pane contains a lot of content because of the changes and comments, which causes Word to run slowly.
- On the left-hand side of your screen, click the Review tab to extend the Reviewing Pane.
- While you continue to work on your document, close this Reviewing Pane.
- You can contact us if it doesn’t help.
2I don’t see any changes in the word file?
Don’t worry! Word documents do not always show the editor’s changes straight away when you open them. To see it, follow this procedure:
- In Word 2019, select the ‘Review’ tab and choose ‘All Markup’ from the drop-down menu.
- Under ‘All Markup’ (Word 2019), click on ‘Show markup’ and check all the options.
3How do I remove the red vertical lines on the left side?
The red line indicates that there are still changes to the document that need to be accepted (for instance, a wrongly placed comma or double spaces).
- In Word 2019, go to the Review tab and click ‘Accept’.
- Click on ‘Accept all changes’ and stop tracking.
4Why do I see redundant changes in my text?
Sometimes words or punctuation marks are replaced with the same ones, leading to redundant changes.
Privacy Policy
1How does Penophile ensure 100% confidentiality?
We respect your privacy at Penophile. To ensure your work’s confidentiality, our employees and editors follow specific guidelines:
- A promise of secrecy
- A statement prohibiting publication and sharing with third parties
- File deletion obligation
- (SSL) Secure connection
Our secure server saves both the original and edited versions of your document for 12 months. A file is automatically deleted after this period of time. It is possible to delete your files manually at any time through your user profile.
2Is it possible for me to delete my account?
If you wish to delete your account, you can do so.
While Your Editor is at Work
1Would my Editor be able to meet my Deadline?
There is a very slim chance that it will happen. It is likely that the editor will meet the deadline. Check your user profile to double-check your due date and order status. You will be notified via email and text message when your thesis is completed and checked.
The possibility of your order being delayed is quite unlikely, but it may happen (for example, due to technical difficulties). We will work with the editor and you as soon as possible to determine the appropriate course of action.
2Can I lower my Deadline further, and to how much?
Penophile provides 24-hour, 3-day, and 7-day services. It is not possible to shorten an order with a 24-hour deadline.
If you notify us early enough, we may be able to shorten the deadline of a 3-day or 7-day order.
To find out if the deadline can still be shortened, please contact us.
Depending on your paper’s word count and editor’s availability, we will assess you and proceed.
If the deadline can be shortened in your case, you must pay the additional cost as soon as possible. By the new due date, you will receive a payment link to pay the remaining fees.
2How can I add additional Documents to my order?
When placing your order, you can add more documents (e.g. guidelines, feedback from your supervisor, or the converted LaTeX file in PDF format). Your editor will have access to these documents.
Thus, the editor will be able to ensure that your paper, thesis, or article meets all of your language-related or other requirements. If your supervisor has provided additional requirements, your editor can make sure any advice you receive does not conflict with those requirements.
Consider summarizing your feedback or criteria rather than uploading lengthy documents. The more details you provide, the less specific input your editor can provide.
Once you have placed your order, you cannot make any changes. After placing an order, you cannot edit your text or additional documents through your user profile.
In any case, you may send the supplementary document to our E-mail. Our support staff will then send the document to the editor.
If the editor is almost done or if the deadline is too close, they will not be able to consider the additional file.
3Can I edit or add more details for my Editor?
Once you have placed your order, you cannot make any changes. After placing an order, you cannot edit your text or additional documents through your user profile your order.
In any case, you may send the supplementary document to our E-mail. Our support staff will then send the document to the editor.
4Can I cancel my Order?
If you do not want to receive the edited text before your proofreading order is confirmed, We will be happy to assist you directly if possible.
The order may be canceled if the editor hasn’t begun. We will reimburse you fully, less any transaction fees.
An order that is already assigned to an editor cannot be canceled. The support team may then ask the editor to stop editing. The editor will charge you for the pages that have already been edited or proofread. There will be no need for the editor to write a feedback letter.
Due to its automatic nature, the plagiarism check cannot be stopped once it starts.
5Is it possible to add more Services to my Order?
Did you place your order already and want to add another service to it? Get in touch with our support team to see if this is still possible. It’s usually not a problem to add another check once your editor is done editing.
Penophile will require payment upfront before adding the additional service to your order.
You may also be asked to extend the deadline by a few hours based on the length of your work and the amount of editing time left.
Our editors are also encouraged to let us know if they think you would benefit from ordering a different service along with the proofreading (e.g., a Structure Check or Clarity Check). We will contact you right away to discuss this if this is the case.
6I uploaded the wrong file. Can I replace it with a new one?
Once your order has been placed, you cannot change the documents. When submitting a new document, or replacing an existing document, please contact the support staff as soon as possible.
It is important to note that the editor has already begun working on your text. You will have to pay for the extra words that need to be edited.
7Can I get my updated file in Pieces while the Editor is still Proofreading them?
You cannot receive any part of the file if the editor is still proofreading it.
The work of our editors is reviewed several times before a final check is made. Providing parts of the edit in advance will affect the quality of the edit because the editor won’t be able to check for consistency and errors. Due to this, we cannot provide you with updated parts.
When the editor finishes revising your document, we’ll email it immediately so you can incorporate their suggestions.
Citation Editing
1Can my editor create a list of references for me?
Unfortunately, we cannot provide you with a complete reference list. As part of our Citation Editing Service, we improve existing sources, not create new ones from scratch.
2Can my editor change the referencing from one style to another?
It is unfortunately not possible for us to provide you changing reference style. As part of our Citation Editing Service, we improve existing sources, not create new ones from scratch or change them from one style to another.
3Can you work with all referencing styles?
Our style guides are compatible with most reference styles, including those specific to universities. During the upload process, you will need to upload the manual for us to do this.
4Can my editor look at the reference list I created with the software?
A reference list we create automatically can only be checked using Word’s references tool.
The only way we can help you if you have an automatic reference list generated by third-party software (such as Mendeley, RefWorks, Zotero, and Endnote) is to change your reference list to a non-automatic format.
Your reference list or in-text citations will not be automatically corrected in this case. Our team can provide you with more detailed feedback and ensure that your references follow the rules of your reference style exactly.
It is generally better to convert your list to a non-automatic format so that we can better assist you.
5Some key information is missing from my reference list. Can Penophile help with that?
It is possible for your citation expert to add missing information if necessary. We cannot, however, complete your reference list.
If you have provided the right information, the citation expert will correct your individual citation entries but, in some cases, will ask you to complete the missing details.
6Can my editor check only part of the reference list as per the Citation Editing Service?
You can specify which sources in your reference list you would like us to check. In your Word document, highlight in yellow the sources you would like checked. As a result, we know which sources to check. Remember:
- Our team will only correct the sources that you request.
- Our team will improve your reference list’s format. We will adjust the font type, font size, indentation, and line spacing of the entire list. Only the selected sources will receive additional formatting (e.g. italicizing titles).
- It is not our responsibility to check and correct the in-text citations. We need to crosscheck all references in the reference list in order to properly correct the in-text citations. It is not possible for us to check all your sources because we are not able to do so.
7Should I order Paper Formatting, Clarity Check, and Structure Check separately?
It is only possible to purchase the Structure and Clarity Check in conjunction with Proofreading & Editing. An editor acquires extensive knowledge of your text while proofreading and editing it in order to provide feedback on structure and clarity.
In addition, you may purchase our Paper Formatting Service, Citation Editing Service, and Plagiarism Checker separately.
